The College of Arts & Sciences (CAS) is one of the largest academic units on the UW Seattle campus, employing over 1400 tenure-track and research faculty, in 43 departments and centers, and generating an average $120 million dollars in sponsored research each year. CAS is comprised of 4 major divisions – Arts, Humanities, Social Science and Natural Science – whose cutting-edge research spans from malaria treatment to solar energy to human rights. Provides registration support to ensure legal and ethical compliance, and adherence to professional best practices. Assists with accessioning and deaccessioning, generating legal documents and reports, fulfilling research requests, records management and preservation, access to collections information, and other registration-related tasks as assigned. Assists with incoming/outgoing loans and exhibits, NAGPRA reporting, institutional archives, and the fine art collection. Assists in development and implementation of policies, procedures, and departmental planning. In absence of Registrar, supervises hourly employees, interns, volunteers and researchers.

Job Metrics:

Assists in processing 200-250 accessions per year
Assists in processing 100-250 active loans per year
Supports 10 exhibits currently on tour or scheduled for retirement
Assists in implementing departmental goals as stated in the annual work plan Basic Functions: Registration Support and Research Requests-70%
Assists in all aspects of registration, records management, and collections-related research
Oversees preservation projects; may direct interns and volunteers in this effort
Provides intellectual and physical access to collections information. Responds to public inquiries and facilitates in-person research visits. Processes forms and fees for research requests.
Generates and tracks donation and transfer documents
Prepares regular reports for Registrar, Executive Director, Curators, Collections Managers, Development office, UW Advancement, etc. Loans and Exhibits Support-10%
Assists in processing incoming and outgoing loans, and assists in resolving long-term loans
Works with Exhibits staff to present, track and maintain short- and long-term exhibitions
Assists in monitoring environmental conditions, pest populations, and security controls for exhibits and collection storage areas Institutional Archives and Fine Art Collections Management-10%
Assists with administration of Burke Museum Institutional Archives and Fine Art Collection
Assists with development of related policies and procedures NAGPRA Implementation-10%
Assists with administrative tasks related to NAGPRA (Native American Grave Protection Repatriation Act) compliance and mailings
Assists in management of sensitive and sealed records Minimum Requirements:
A Bachelor’s Degree related to assigned collection specialist AND two years of experience assisting with care and preservation of collections, with interpretation of collecting or with display design and execution OR equivalent education/experience
Proficiency in museum collections management databases and Microsoft Office Suite
Knowledge of museum standards and best practices
Experience with museum registration records and processes
Skilled in handling and preservation for records, archives and three-dimensional objects
Experience with condition reporting
Experience generating/administering legal documents
Strong organizational skills and strict attention to detail
Strong written and oral communication skills
Discretion in handling confidential and sensitive information Desired Qualifications:
Master’s Degree in Museology
2-5 years’ experience in museum registration and/or collections management
Demonstration training and supervisory skills
Natural history museum experience
Fine arts and archives experience
Experience writing procedural manuals and/or policies
Budget management skills Conditions of Employment:
Appointment to this position is contingent upon obtaining satisfactory results from a criminal background check
Must be able to push/pull and lift up to 50lbs with assistance
Must be able to operate handheld tools and small equipment (power drills, socket wrench, pallet jack)
Must have a valid WA State driver’s license
