*Your Role*: Our Clinical Scheduling Specialist at Novir, LLC (“the company”), focuses on ensuring proper staffing levels at on-site clinical events for the company. As a Clinical Scheduling Specialist, you will be responsible for preparing and overseeing the schedule for Novir’s Clinical Care Coordinator team’s field assignments. You will maintain the day-to-day schedule for our onsite testing and/or vaccination clinics at client locations. You will support our clients’ scheduling needs as the primary point of contact. You will always maintain an excellent standard of customer care to ensure pleasant interaction with external and internal customers.
Key Responsibilities:
As the primary point of contact, prepare and manage daily schedule for day-to-day clinic operations.
Manage and maintain client schedule by filling open shifts, coordinating schedules to increase or decrease the amount of necessary staffing to meet the client’s needs.
Manage and maintain employee schedules, including changing shifts/employees immediately to ensure clinic operations are staffed appropriately
Update and maintain system to reflect holidays, vacations, scheduled closures
Communicate regularly with Account Managers and Regional Clinical Operations Manager regarding staff assignments and issues
Keep phone list updated, and current staff information updated in system
Ensure staff and clients are aware of schedules on a weekly basis
Optimize schedule to reduce site to site travel for staff
Verification of employee work hours and mileage with the company’s payroll department
Prepare and submit reports on an as needed basis
Ability to start early to prepare for staffing changes (suggested 6am – 3:00pm shift).
Requirements:
Previous experience in customer service facing role preferred
Previous experience scheduling multiple events in multiple locations daily required
Must have excellent communication skills, especially verbal/oral communication
Must have excellent time management abilities
At least 2 years work experience in a similar role
Associates or bachelor’s degree in Business Administration or any related field preferred
Ability to enter data efficiently and accurately
Ability to work with little or no supervision
Possession of good organizational and leadership abilities is a prerequisite
Be extremely reliable
Ability to use Word, Excel, Email, Internet, and in-house systems

Physical Demands of the Role:The ideal candidate must be able to complete all the physical requirements of the job with or without reasonable accommodation. While performing the duties of this job, the employee is regularly required to talk, hear, and type. This position is sedentary in nature. Lifting requirements are less than five pounds. The employee will frequently talk on the phone and type on a computer to communicate and fill shifts.
Must be able to lift and carry or otherwise move 25 pounds occasionally
Must be able to sit most of the day at a desk
Repeating motions that may include the wrist, hands and/or fingers
