Job Description :
This role provides a variety of administrative and support services to the Conference Services Department. Responsible for contracting and coordinating internal and day group business.

Responsible for contracting, coordinating, planning and creating event orders for group events and activities for day groups, including but not limited to: meeting requirements, audiovisual needs, food & beverage requests, transportation, special events, recreation, billing and up-selling resort amenities and services.
Gather, organize, print and distribute mass weekly event orders for distribution.
Manage and update event orders and change forms daily for production and distribution.
Complete daily sheets, room signs and marquee signs for distribution and display around the resort.
Create tickets and directional signage for meals or activities as needed.
Update House TV with daily events schedule.
Responsible for on-site group changes and requests with assistance from Conference Service Managers (CSM’s) as necessary.
Administer event changes and update room signage appropriately and accurately.
Assist CSM’s with duties including but not limited to copying, filing, correspondence, and contacting outside vendors for services, etc.
Provide business services, i.e. copies, faxing, scanning, computer use, etc. for meeting guests.
Responsible for shipping and receiving of vendor displays and other packages as needed.
Answer incoming calls to the Conference Services office.
Answer phone calls of in-house group needs: food and beverage, set-up, shuttle requests, etc.
Screen phone calls for Sales leads and transfer to the appropriate Group Sales Manager or CSM.
Plan and create events orders for internal group events and activities including but not limited to: meeting requirements, audiovisual needs, food & beverage requests, transportation and recreation.
Organize and file group’s event orders and records after event; maintain organization of filing cabinet.
Assist with wedding or other event decorations as needed.
Responsible for CSM introduction letters and thank you correspondence.
Facilitate storage and pick-up of decorations before and after weddings or other events.
Assist the Set-Up staff with changing room sets from one event to another as needed.
Maintain organization and tidiness in the Conference Services front office, business supply cabinets and filing cabinets. Restock inventories office supplies as needed.
Replenish Crystal Center brochure rack as necessary.
Take and deliver messages for group guests.
Greet and direct Crystal Center guests as necessary.
Manage one’s own time and meeting deadlines.
Other duties as assigned.


Previous experience with SMS is a plus.
Proficient in Microsoft Office Suite applications (Excel, Word, Access, Outlook, Power Point) and Microsoft Publisher. Able to create accurate reports in Access & Excel with formulas and graphs.
Effective business writing skills (grammar, vocabulary, clarity and brevity).
Strong attention to detail.
Clear and concise verbal communication skills.
Self-directed and able to maximize use of time, resources and technology.
Able to analyze, interpret and present data in various formats.
Able to work with computers, faxes, copiers, scanners and various other technologies in offices and on resort.
Maintains office, employee and company confidentiality at all times.
Dependable and meets goals.

Minimum of a two year degree or combination of experience and post high school business related course work.
Prior experience in hospitality industry a plus.
