Construction Project Administrator, Full-Time, Wausau, WI

Position Summary: Provides assistance to Project Managers and the Project Management Department in the day-to-day processing and administration of construction contracts and projects. Performs administrative oversight and support of many facets of new and ongoing projects.

Handle administrative tasks: typing letters, reporting, change orders, and other assignments the Project Manager may require for a project.
At project inception, prepare and maintain project filing system and ensure timely, accurate updates for the duration of the project.
Assist Project Team in ensuring project compliance requirements are met internally and externally with subcontractor engagement. All subcontractors must follow contract requirements.
Assist incoming subcontractor inquiries and redirect to Project Managers when appropriate.
Prepare subcontracts for issuance, including riders and certified payroll information. Check and confirm specifications for any special requirements.
Document site meetings and issue meeting minutes as requested.
Maintain and distribute a subcontractor list for projects.
C/M project responsibilities include:

Prepare monthly reimbursable billing statements for owner.
Assist in preparing for submittal of trade contractor invoices to owner.
Assist in preparing bid packages.
Assist in pre-bid conferences.

Prepare files and record owner and subcontractor change orders.
Coordinate and assemble job close-out documentation and submit to owner’s representatives.
Prepare pay applications with accuracy for Project Manager approval.
Attend project progress meetings as requested by Project Manager.
Assist with writing the project specification material for Project Manager’s review and final approval.
Prepare shop drawings initial review and notations for Project Manager review.
Practice and promote construction administration best practices and share with team to ensure departmental review and workflow utilization.
Occasionally train new Project Management Team members and ensure they comprehend and adhere to company practices and procedures.
Intermittently support the front office with reception duties in the absence of the Administrative Assistant.

Position Requirements:

High school diploma plus completion of vocational school courses required. Associates degree preferred.
Applicable work experience of 2-5 years of office experience is highly desired.
Administrative/project assistant work experience is highly desired
Basic understanding of construction industry practices, processes, and standards is helpful.
Ability to communicate in a professional, courteous, diplomatic manner with all levels of management, external clients, and potential clients is critical.
Ability to demonstrate proficiency in Microsoft Office Suite.
Knowledge of general accounting principals is helpful.
