Overview

The School of Environmental and Biological Sciences, located on the George H. Cook Campus, is one of the largest schools of Rutgers University in New Brunswick, New Jersey. We pursue excellence in research, teaching, and outreach in areas of study that address the biological spectrum from molecules to ecosystems. Our emphasis is on both the fundamental sciences and the social and human dimensions. We offer 21 undergraduate majors, including plant and animal sciences, microbiology, biotechnology, agriculture and food systems, landscape architecture, food and nutritional sciences, ecology and evolution, marine science and oceanography, environmental sciences and meteorology, human ecology, entomology, and environmental economics.

In addition to instruction in the classroom, field, and laboratory, our students have opportunities for experiential learning on and off campus, including a growing emphasis on international experiences through short- and long-term study abroad. Students also have access to a robust program of applied research and outreach hosted by the New Jersey Agricultural Experiment Station laboratories, farms, business incubators, and marine stations throughout the state.

Posting Summary

Rutgers, The State University of New Jersey, is seeking a Department Administrator for The New Jersey Agricultural Experiment Station (NJAES). This position will provide administrative support to the Director for Resource and Economic Development of the New Jersey Agricultural Experiment Station (NJAES) and the Director/Dean of Research, NJAES/SEBS. This position will support general office operations, including records and calendar management, fiscal, human resource, travel and payroll functions for these offices and will serve as liaison within and outside the department.

Among the key duties of this position are:

Responsible for the administrative management of daily operations.
Routinely reviews and assists with implementation of new procedures and processes; provides coordination of daily business processes including purchasing, coordination of grant pre- and post- award documents, and event coordination.
Resolve a diverse range of problems consistent with an understanding of the mission, vision, role, and goals of NJAES and have a comprehensive understanding of administration/office management in accordance with management principles, applicable regulations, and university policies.
Serves as NJAES liaison/representative working with SEBS-HR as the initial point of contact for various complex staff issues that may arise.

COVID-19 Immunization Requirement

Under Policy 60.1.35, Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility. Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC). Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine. Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Minimum Education and Experience

Bachelor’s degree in a related field from an accredited institution.
A minimum of 2 years of experience in an administrative support position that demonstrates knowledge and understanding of office administration, pre and post award grant management, HR, and bookkeeping.

Certifications/Licenses

Required Knowledge, Skills, and Abilities

Exceptional organizational, analytical, managerial, leadership, communication, interpersonal, supervisory and computer skills.
Attention to detail and the ability to multi-task are necessary.
Proficient in Microsoft Office Suite applications.

Preferred Qualifications

Familiarity with Microsoft 365, Adobe Professional, and administrative policies.
General knowledge of the land grant system and experience in higher education administration is.
Familiarity with Rutgers University and SEBS business (general ledger), payroll, procurement and personnel practices.
Knowledge of Rutgers financial and HR systems such as ROCS, RAPPS, Marketplace.
Prior knowledge of/experience with the NJAES mission, organization, and research responsibilities.
Experience working with confidential and sensitive information.
Experience working in a multicultural environment.

Equipment Utilized

Familiar with use of general office equipment such as copiers, printers and scanning equipment.
Proficient in Microsoft Office, Excel and PowerPoint. Familiarity with Adobe Professional preferred.

Physical Demands and Work Environment

The position is stationed in an office work environment. Must have ability to perform light lifting of office files. Occasional on campus and possible off campus travel to off campus sites for meetings may be required
