The Departments of Neurological Surgery and Neurology has an outstanding opportunity for a Finance Manager. The purpose of our administrative team is to deliver a reliable, trusted administrative infrastructure, allowing our department to excel in clinical, research, and education initiatives to advance the future of the neurosciences and its vision is to succeed in propelling our departments to national renown for their work in furthering the neurosciences. RESPONSIBILITIES:
Budget Management 30%
Manage, forecast, project, and apply operating sources and uses of all nonclinical and non-research budgets, recommending adjustments to control budget variances and ensure prudent financial management.
Research and prepare final reports for Department leadership, School of Medicine, and UW Medicine Offices; independently execute METER reports, collect, analyze and synthesize data; make recommendations to ensure the financial stability of all budgets.
Develop, assign, and monitor annual budgets for the residency programs and other programs in the departments.
Manage the contractual services for the professional sports team (NHL Kraken and NFL Seahawks), SCH and the VA contracts for clinical faculty and services.
Manage the department’s process and response to records requests related to financial activities; ensure departmental compliance with University and departmental policies and procedures as well as guidelines from federal and state government; lead all responses to audit requests.
Financial Analysis 20%
Using accounting and comparative analysis principles, prepare reports and financial statements for all department budgets.
Perform comparative analyses to develop, implement, and manage centralized tracking mechanisms to monitor and report on the status of all central department budgets.
Provide independent advising, training, reconciliation, budgeting, analysis and reporting services to the Vice-Chairs with for all department budgets.
Payroll Management 20%
Oversee the interfaces between payroll, HR, and other financial transactions in Workday and SoM payroll systems; verify and approve all departmental payroll records.
Manage all compensation structures, policies, and procedures; lead the finance team in processing and monitoring changes in compensation and distributions; oversee funding and management of physician allotment funds
Strategic Planning and Process Improvement 15%
Facilitate efficient and creative workflow improvements to develop and implement process improvements that align with departments’ overall financial and business missions and the UW FIT initiatives.
Recognize, develop, and implement systems and processes that will ensure efficient and accurate delivery of accurate services.
Is an active liaison and represents the departments with the implementation of UWFT change management initiatives and proactively identifies barriers to workflows and proposes innovative solutions.
Ensure the overall structure and financial workflows of the departments remain efficient and compliant with UW, State, and Federal policies; ensure all standard operating procedures are documented and updated timely.
Actively manage the departments’ finances to key performance metrics and collect and report on qualitative data to evaluate progress and improvement initiatives.
Staff Management and Leadership 10%
Directly manage and supervise the day-to-day work of 3.0 FTE classified staff and hourly staff for the fiscal/research business unit. Is responsible for merit eligibility, performance reviews, performance management, and corrective action.
Develop job descriptions, oversee recruitment, orientation, and training, workflow management, schedules, and ensure compliance across all UW and federal HR policies and procedures.
Provide training to new faculty, staff, and trainees as it relates to services related to finance and compliance
Leads, builds and maintains strong working relationships with department faculty, staff, residents, central UW financial offices, and outside vendors and institutions.
Represents the Departments with the centralized UWFT initiatives and staff; ensures transactions on behalf of the department are executed proactivity; makes+15+ recommendations for the improvement of workflows and business relationships.
Other Duties As Assigned 5%
REQUIREMENTS:
The minimum level of education required: Bachelor’s degree in business, finance or other related field.
The minimum level of experience required:
At least three years of financial management, accounting, and/or payroll experience.
Previous experience and knowledge of lean process improvement practices (six sigma lean)
Excellent office computer skills including MS Word, Excel, and willingness to learn other applications/programs as necessary
Strong and creative problem solving skills
Ability to quickly analyze and prioritize multiple competing demands, work well under pressure and meet deadlines.
Excellent written and oral communication skills.
Proven accuracy and attention to detail.
Self-motivated and able to work independently, as well as collaboratively
Demonstrated experience and success in budget forecasting, development, and reporting
Other Qualifications:
Demonstrated experience and success with lean process improvement and methodologies
Above average knowledge of Workday and ability to navigate workflows and processes
Proven history of leading successful teams and solving complex issues and demands
Working Conditions
The typical work schedule is 8a to 5p, M-F, but is not always fixed and the workload does vary. The incumbent¹s first responsibility is to complete tasks rather than keep to a fixed schedule. Flexibility in schedule and intensity of work is necessary.
This position requires up to 3 days of on-site work each week at one of the department’s clinical locations (HMC, UWMC, SCH). The number of days of on-site work each week is subject to change with department needs and the health recommendations from the UW.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
