The School of Medicine (SOM) Dean’s Office has an outstanding opportunity for an HR Analyst.

The HR Analyst reports directly to the School of Medicine Director of HR Operations. The HR Analyst will provide expert consult and complex support within the HR Shared Services team for SOM departments and the Dean of Medicine units. The position will handle Human Resources and Payroll matters requiring independent judgment, analysis, and discretion in effecting, executing, and discharging personnel functions in the University of Washington’s human capital management system, Workday. This position will have primary responsibility over the data integrity of the human capital information, and efficiency over business process entries. Workday functions encompass the areas of employment, classification, promotions, onboarding, compensation, benefits, leave management, and training and development for all Faculty, Staff, and Student employees. This position will be highly analytical, resourceful, customer focused, team oriented, and have the ability to work independently under time constraints to meet deadlines. This position is expected to understand, interpret, and apply appropriate policy, procedure, and required HR laws and regulations. This position will work closely with the SOM Academic Appointments and Compensation unit, the Integrated Service Center, Total Talent Management, and the universities Compensation Office.

ABC Shared Services is a multi-channel resource for HR and payroll inquiries and transactions specific to the School of Medicine community. ABC supports multiple SOM Departments with Workday transaction entry, and the role of the HR Analyst is vital to the schools data integrity in Workday and the continued success of the departments that we serve. This role will work to support the ongoing stabilization and optimization of Workday. This role will work closely with the Director of HR Operations to analyze, validate, and correct employee data within the system for the entire School of Medicine population.

RESPONSIBILITIES

This position requires significant organization, problem-solving, project management and communication skills with frequent and substantive interactions within and outside of the ABC Shared Services unit. Individual initiative, solid judgement, discretion regarding sensitive and confidential matters and superior customer service skills are all necessary for the tasks assigned. This position requires accuracy, efficiency, flexibility, creativity, and a desire to serve multiple stakeholders, while working within UW regulations.

Data Analyst Projects:

Serve as primary point of contact for annual staff merit process. Produce individual department reports to collect merit data for staff. Work closely with the Director and other stakeholders in providing each department data sets for the staff merit process. Then collect these completed reports and collate for the school. Provide statistical analysis of merit data once the process is complete.

SOM staff data integrity. Continually review data points within Workday to ensure departments are using the work data fields accurately and in a uniform manor across the school. These include, but are not limited to, work locations, work tags, vacant positions, supervisory organization structure and naming convention, amount others.

Produce regular reports for SOM leadership. Including, headcount reports, business process transition analysts, security role validation and compensation reports. Work with the Director and ABC SharePoint Developer to extract and validate SharePoint transaction data for the HR Payroll team. Combine this data set with Workday transaction data for leadership to use in developing staffing models and capacity limits. This will include validating the existing metric data and ensure the reported numbers are accurate.

Responsible for other ad-hoc data and analysis requests as needed.

Dean’s Office transactions:

Serve as day-to-day expert providing informal and formal first tier advice and guidance to staff, students, directors and administrators regarding UW human resources policies and procedures.

Understand and be proficient in the complexities of both staff and academic personnel.

Attend and participate in SoM and campus-wide human resources meetings and committees.

Attend and participate in All Team and HR / payroll specific team meeting meetings.

Attend and participate in Workday trainings related to job functions. Complete all relevant Workday assessments successfully

Website Management:

Manage the SOM Human Resources intranet page. Identify content to be updated and ensure updates are made to the site regularly. Provide feedback back to the HR Director and ABC team for changes and improvements.

Lean Process Improvement:

Identify and recommend process improvements regarding the ABC HR/P process, quality control, and SharePoint system.

Develop, analyze and revise team guidelines, policy, procedures, and training tools.

Develop, analyze and revise team communication templates which serve to streamline processes and increase consistency.

MINIMUM REQUIREMENTS
Bachelor’s degree in Human Resources Management, Business Administration or other related field. Two years’ work experience preferably in human resources at a diverse, multi-faceted organization.

Additional requirements:

Thorough knowledge of HR policies, procedures, principles and practices.

Expert knowledge of Excel and Workday.

Ability to analyze needs, assess potential avenues, and implement creative solutions to ensure a steady flow of high-quality, high-achieving staff.

Excellent interpersonal and communication skills (written and oral).

Ability to communicate in a diplomatic, friendly, yet effective manner with SoM leadership, faculty, staff, and central campus offices.

Highly organized, demonstrate ability to multitask in a consistently fast paced environment in an organized and efficient manner. Self-motivated, flexible, creative, ability to prioritize and be solutions orientated.

Ability to creatively solve problems in order to meet goals and objects.

Equivalent education and/or experience may substitute for minimum requirements.
