Under the supervision of the Manager of Human Resources, the Human Resources Administrative Assistant is responsible for providing administrative functions in support to the Human Resources initiatives at the agency. Qualifications For Position:

Education: High School diploma/GED required, Bachelor’s degree preferred

Experience: Minimum of one (1) year of administrative experience, experience in Human Resources preferred

Skills and Abilities: Active learning and listening, critical thinking, written comprehension and expression

Machine, Tools and Equipment: Computer, Microsoft Office (Word, Excel, PowerPoint, Publisher and Outlook), Donor Perfect experience preferred

Other Requirements: Valid driver’s license

Job Specific Duties & Responsibilities:
Human Resources:

Maintain employee records including hard copies and electronic information in HRIS

Submit online job postings, update job descriptions, short list candidates and schedule job interviews

Respond to human resources-related inquiries

Assist in payroll preparation and benefits enrollment by providing relevant data to Finance and third parties

Coordinate on-boarding for new personnel, adhering to policy on hiring procedures, i.e. background, fingerprinting and drug screen authorizations and releases

Coordinate HR projects, meetings and training seminars

Work independently and within a team on special and ongoing projects, which may include: planning and coordinating presentations, disseminating information, and support for development activities

Provide clerical support including data entry, correspondence, and filing ensuring documentation is in personnel file as appropriate and as required by licensure

Maintain confidentially with employee information and employee relations issues

General Administrative:

Responds to general inquiries about the Rescue Mission, directing inquiries to appropriate staff and/or program

Assist with receiving and directing visitors and clients

Answer, screen and transfer inbound phone calls

Receive and direct visitors and clients

General clerical duties including photocopying, scanning, faxing and mailing

schedule and coordinate meetings, appointments, interviews and travel arrangements for managers or supervisors using individual and agency wide calendars

Miscellaneous:

Performs other duties as assigned

Covid-19
Rescue Mission of Trenton requires all new employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to start of employment, unless the Rescue Mission of Trenton has granted the employee a medical or religious exemption. Employees who are not eligible for a booster at the time of an offer of employment provide proof they have received a booster upon eligibility and upload proof of same. Failure to provide proof of primary vaccination and booster will result in rescission of a candidate’s offer of employment or disciplinary action up to and including termination.
