Manager, Post-Award Services, Office of Sponsored Programs

The Office of Sponsored Programs (OSP) invites applications for a Manager, Post-Award Services. This position acts as the lead supervisor and provides direction and guidance for all post-award employees. They will manage all daily functions related to workflow, work distribution, and tasks related training of the Post-Award team. This position will independently manage a team of seven to ten (7-10) post-award employees and potentially one to three (1-3) student and/or temporary employees. OSP promotes a flexible work environment in which hybrid/remote work is available to team members. This the person in this position may work in a hybrid or remote setting with only occasional in-office attendance required.

Key duties and responsibilities include:

Day-to-day responsibilities for grants management, including handling personnel actions and performance standards, as well as resource management
Independently provide individual direction and problem-solving for team members on a daily basis, including judging when to escalate problems to the Director
Strategic planning and development of the entire grants-management area
Support the Director in developing and maintaining effective policies and procedures for grants management across all areas of campus
Coordinate with UM central office staff (such as Business Services, Human Resource Services, Graduate School) on research-related matters to develop and implement grant policies and procedures
Investigate grant administration process improvements and develop grants-management and administration strategies to benefit the University, with an institution-wide perspective
Directly manage and/or oversee the most complex and high-risk grants
Maintain grant records (electronic and/or paper) and serve as lead in audits, other record-related activities such as data reports, and outside reviews
Fulfill duties common to other post award specialists on his/her team.
Provide expert guidance to all members of Research Administration regarding the submission and storage of awards and related materials.
Serve as the point of contact for all post-award intake and distribution functions.
Serve as the primary point of contact for general proposal related inquiries from the campus community
Develop robust external training in post-award for department administrators and PIs and engage the post-award team to provide the training
Coordinate with the Director in the dissemination of knowledge to the entire post-award staff through training sessions, written communications, meeting updates, and personnel issues
Provide recommendations to the Director regarding process improvement
Serve on committees and task forces representing the Pre-Award team to further the long-term goals of the Office of Sponsored Programs
Provide individual direction and problem solving for team members on a daily basis
Foster a supportive and flexible work culture within the post-award team and promote the development of deep expertise within the post-award team
Conduct regular grants-management staff meetings and trainings and regular post-award staff meetings

Upon completion of training, the incumbent will:

Serve as the institutional expert on matters of post-award, being a reliable and routine resource for the OSP team, Research Office, and campus community
Support the OSP Managers in rolling OSP training out to the team and campus
Provide critical insight in post-award processes for the benefit of systems development and improvement
Serve on the Research Administration leadership team
Act as the institutional expert in post-award administration, be able to oversee or support the management of UM’s most complex, risky, or strategic grants and contracts

Position Details

Position is full-time, 1.0 FTE, MUS Contract and includes a comprehensive and competitive benefits package including Insurance package, mandatory retirement plan, partial tuition waiver, and wellness program.
Salary for this position is $75,000 per year

Required Qualifications

Advanced degree such as MA, MS, or MBA
Seven or more (7+) years of experience with demonstrated progression of responsibility in research administration or sponsored projects accounting.
Related professional certification such as CRA, PMP, CPA
Experience presenting at regional or national conferences
Direct research administration management experience at an R-1 research institution
