The ETC Operations Coordinator performs the coordination and management of departmental operations.

Qualifications:

Education, Knowledge, Skills and Abilities Required:

1. High school diploma or equivalent.

2. 3-5 years of experience.

3. Ability to manage multiple priorities concurrently.

Responsibilities:

1. Balances schedule to ensure appropriate staffing for clerical associates, operations technicians, RNs, PCTs, and NAs.

2. Enters all sick time, PTO, and non-paid time for approved as well as unapproved absences.

3. Enters all RN schedules.

4. Enters all contracted/temporary team members schedules.

5. Patterns all clerical associates, operations technicians, PCT, and NA team members in scheduling systems.

6. Publishes approved schedules.

7. Receives and approves all holiday schedules from clerical associates, operations technicians, RNs, PCTs, and NAs.

8. Keeps track of weekend call outs and ensures that all ETD team members ( clerical associates, operations technicians, RNs, PCTs, and NAs) are scheduled to complete weekend makeup shifts.

9. Receives all return to work emails for staff on leave of absences and reflect updates on the schedules.

10. Receives and keeps track of pending leave of absence requests to find additional coverage for the schedules.

11. Keeps track of incoming employees and completes orientee schedules by pairing orintees with appropriate preceptors.

12. Finds clerical associates, operations technicians, RNs, PCTs, and NAs to pick up shifts when the department is short staffed.

13. Adjust schedule discrepancies and enter missed punches in the payroll system.

14. Schedule per diem staff.

15. Keeps track of staff who are placed off duty by occupational medicine.

16. Provides daily assignments for clerical associates and operations technicians.

17. Completes the incentive pay sheet for clerical associates and operations technicians. 18. Receives approval for incentive and reflects it on the schedule for staff to pick it up. 19. Creates schedule templates for new incoming team members.

20. Enter approved float team members schedule in scheduling system

21. Approves pick up requests and shift changes and then reflects such changes in schedule system

22. Ensure ETC call center flow and help to resolve issues.

23. Monitor the ancillary operations in addition to recommending improvements in the workflow.

24. Formally and informally communicate with staff to provide a mechanism for feedback, problem solving and information sharing.

25. Participates in Operations and Leadership team meetings.

26. Assists with clerical associate and operations technician responsibilities when short staffed

27. Provides input to Operations Manager for the annual performance appraisals of ancillary support staff.

28. Assigned to special projects and other tasks on request.

29. Completes patient rounds and document in rounding system

30. Lifts a minimum of 10 lbs., pushes and pulls a minimum of 15 lbs. and stands a minimum of 1 hour a day.

31. Other duties and/or projects as assigned.

32. Adheres to HMH Organizational competencies and standards of behavior.
