Overview
The Payroll Manager oversees the overall operation, processing, and service delivery of the Payroll function for over 700 employees and doctors across multiple states. The Payroll Manager will process a high volume of bi-weekly and monthly payrolls for multiple entities/pay codes ensuring pay is processed on time, accurately, and in compliance with all regulatory and state requirements. The Payroll Manager upholds the highest standards in service, compliance, accuracy, collaboration, and commitment to building quality, effective, and scalable processes as the organization grows.
Duties/Responsibilities

Responsible for the company’s payroll process including, but not limited to, the accurate and timely processing of payroll, state and federal tax liability, third party deductions and garnishments, insurance premiums, 401k contributions, incentive plan payments, recordkeeping etc.
Maintains and adheres to payroll processing procedures working with ADP TotalSource (PEO) in ensuring payroll processing is complete, accurate, and in compliance.
Manage accurate records of payroll documentation, transactions, reviewing of payroll reports, timesheet accuracy, garnishments, reconciliation, claims statements, verification of master file changes such as new hires, terminations, salary changes, etc. that are fed into the payroll system.
Prepare and maintains accurate records and reports of payroll transactions.
Manage accurate and timely processing of year-end activities, including coordination with payroll tax team and services providers.
Provide excellent customer service to employees, Dentists, and team members in line with our company values and service level agreements; resolve payroll issues as they arise and implement procedures to mitigate future risks and errors.
Assist in benefits, workers comp and financial audits by providing records and documentation.
Assist, as applicable, with any state and local payroll tax accounts; advise on payroll implications of certain matters, such as adding employees in new states or localities, fringe benefits, tax gross-ups, etc.
Assist the Integration and HR Teams in M&A/integrations activity when reviewing transitions to Select’s payroll and other payroll items related to newly acquired practices.
Establish Payroll Standard Operating Procedures (SOPs), strong controls and checks/balances, while recommending changes to improve the efficiencies to minimize manual administration, workflow bottlenecks, and repetitive data entry. Partner with HRIS Manager and ADP or other vendors to review needs and continuous improvement initiatives.
Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices; keep abreast of changes made to existing laws that may affect payroll processing, deductions, PTO, or other related payroll components and communicate and/or implement changes accordingly.
Create and deliver Payroll reports as needed.
Partner with internal stakeholders on education, payroll and policy announcements, and error and conflict resolution as needed.
Other duties and projects as required.

Required Skills/Abilities

Strong analytical, communication, interpersonal, organizational, and problem-resolution skills.
Excellent project management and multi-tasking skills with the ability to work under pressure.
Highly skilled in Microsoft Excel, ability to create/work with pivot tables and v-lookups required.
Ability to build and maintain partnerships at various staff and management levels and departments.
Possess strong ethics and the ability to maintain confidential information.
Highly collaborative and service oriented.
Aware of payroll best practices and stays current on latest trends and compliance updates.

Education and Experience

Minimum of 5 – 8 years’ experience required in payroll management and payroll systems experience in a high volume, multi-entity, multi-state organization.
Bachelor’s Degree in Human Resources, Accounting, Business Administration or other related degree, or equivalent years of HR/Payroll management experience.
Certified Payroll Professional (CPP) certificate, HR Certification (SHRM, PHR, etc.) highly preferred.
Experience with Payroll and HRIS systems required; experience with ADP TotalSource / Workforce Now highly preferred.
Strong knowledge of payroll and tax laws, best practices, reporting regulations, etc. required; Specific experience in NY, NJ, PA, CT, VT, MA, MD, NH, and D.C. a plus.
