Job Description :
Boys & Girl Clubs of Northeast Ohio (BGCNEO) has an immediate opening for a Program Operations Manager in the administrative office. The individual will report to the Chief Programs Officer, work closely with program operation, Senior and Executive Leadership Teams. This individual will be responsible for providing regular administrative and clerical support, controlling transportation initiatives, and managing aspects of the Say Yes to Education BGCNEO partnership. The Program Operations Manager also prepares correspondence and reports, maintains schedules, coordinates calendars, and assists with all administrative duties as directed by the Chief Programs Officer. This is a Full time Exempt role with competitive pay and benefits. Our hope is to find someone with a background including:

Three or more years of office clerical experience, proficient in Microsoft Office and use of common office equipment, database management, detail orientated and able to multitask to meet deadlines in a timely manner, ability to effectively communicate both written and verbal, strong customer relations skillset, and able to maintain strict confidentiality.
Essential responsibilities include:

Supports the planning and execution of the BGCNEO administrative aspect of Say Yes programming
Assists the Chief Programs Officer with managing specialized program provider initiatives associated with budgets, payables, contracts, management of program data and reports.
Develops and coordinates the receipt, maintenance and reporting of specialized program provider time sheets, expenses, program documentation submissions in collaboration with site coordinators.
Works to effectively communicate report deadlines, funding and program data, scheduling and transportation information with specialized program providers and site coordinators.
Coordinates the submission of report data to Say Yes To Education Cleveland
Performs regular secretarial duties, preparing correspondence and reports as requested by supervisor and composes draft letters following established formats
Proofreads all materials for accuracy prior to supervisory review and signature
Maintains supervisor’s calendar, scheduling meetings and making logistical and travel arrangements; prepare meeting agenda and minutes
Maintains schedule of organizational activities, program and inspection deadlines, and events; collecting and disseminating information to staff, volunteers, members and families as instructed
Answer telephones, providing general information, referring callers to other staff or taking messages as necessary; providing back up for front office
Maintains electronic and hard copy filing systems, making sure they are accurate and timely and facilitate easy retrieval of information
Monitor office supply inventory and order supplies as necessary
Ensure that membership database is accurate and updated regularly
Responsible for managing organizational transportation initiatives to include: schedules, staffing, vehicle maintenance, volunteers, etc.
Manages the Club Bus and Van Drivers
Works with the Chief Program Officer to assist with coordination of preventative maintenance schedules, timelines, inspections, project management, purchase requisitions, budgets, etc.
Provides support to Clubs through the coordination of facility walk-throughs, scheduling of one-on-one consultations, maintenance of facility records to include inspections, certifications, and building permits

ADDITIONAL RESPONSIBILITIES:

Responsible for managing inventory of office equipment, performing routine maintenance activities and contacting service representatives as needed
Serve as administrative receptionist, greeting all visitors
Monitor and log staff training attendance and transmit attendance data to HR
Maintain close daily contact with Program Operations staff and other key administrative staff

SKILLS REQUIRED:

High school diploma or equivalent
Three years of office clerical experience
Training in secretarial skills and use of common office equipment
Typing/keyboarding skills of at least 40 wpm
Computer literacy, including database management

Good organization and attention to detail
Good written and verbal communication skills
Strong customer relations skills
Able to maintain strict confidentiality
Excellent attendance and punctuality
