Overview
The Receptionist is responsible for providing the “Red Shirt Treatment”, the best first and lasting impression of Independent Health, to all guest, vendors, and associates. The individual will be responsible for the reception, switch board and clerical duties identified below. Additional hours may be required during vacation/holidays and for other periods of time as needed. Flexibility in coordinating time off with others on the reception team is required and a condition of employment.
Qualifications
High School diploma or GED required.
Six (6) months office/clerical experience required.
Demonstrated ability to type letters/forms/documents with complete accuracy.
Competent and courteous telephone manner in handling a busy switchboard with focus on superior customer service.
Excellent PC skills including Microsoft Office experience required.
Exhibit initiative, creativity, and self-motivation.
Excellent verbal and written communication skills, including correct grammar and punctuation, as well as the ability to prepare routine correspondence as directed and respond to requests in a timely manner.
Effective organizational and time management skills with the ability to prioritize work according to established deadlines.
Proven examples of displaying the IH values: Passionate, Caring, Respectful, Trustworthy, Collaborative and Accountable.
Essential Accountabilities
Switchboard:
Answer all incoming calls in a professional manner and route them to the appropriate individuals in accordance with standard office procedures.
Reception:
Appropriately greet all members, guests, and associates.
Provide superior customer service with timely response to all member/guest requests.
Adhere to Physical Security support requirements, applicable policies and procedures including logical access, government product regulations and reception SOPs or as directed by the supervisor, Physical Security.
Assist in accepting, recording, and processing member payments.
Maintain reception area in a neat/orderly fashion.
Clerical Support:
Actively seek to provide administrative support to building departments.
Ensure familiarity with reception SOPs and all government product required Compliance policies.
Secure and maintain working files, store in accordance with the corporate retention policy.
