Responsible for the day to day operations of the non clinical areas seven days a week. Responsible for maintaining coverage for all clerical areas. Supervises and leads clerical/non clinical staff with operational tasks and goals. This position encompasses departmental training of new hires. Supervisor is responsible for leading staff and ensuring exceptional service is provided to customers. Supports Director in all departmental initiatives and goals. The individual may perform additional duties and responsibilities as assigned.
Responsibilities:

A Day in the life of a Sup, Registrar/ Patient Intake at Hackensack Meridian
Health includes:

Oversees clerical operations within the department, maintains effective procedures to monitor activities within the employee’s responsibility. Bonds with staff, leads by example and frequently works with staff side by side. Consistently shows the ability to recognize and deal with department and organization priorities and plans accordingly.
Promptly report any problems to the Director to resolve quickly and appropriately. Fosters professional growth and development among staff by encouraging attendance at seminars. Flexes schedule to ensure interaction with off/shift and per diem staff. Ensures staff meetings are held. Identifies opportunities for process improvements.
Proposes and embraces change by recognizing the need for process improvement and staff contribution. Arranges departmental coverage and provides coverage when alternate coverage is not available. Serves as Liaison between technical and clerical staff. Handles patient and employee grievances in a professional and courteous manner. Implement and assure adherence to all safety precautions in accordance with company policies and OSHA regulations. Maintain the preservation of confidentiality and accuracy of all patient records in accordance with company policy and HIPAA regulations.
Coordinate and implement procedure for image and report requests. Maintain clerical work schedules and verify payroll information for accurate payroll processing. Coordinate courier routing. Enforce dress code policy. Participate in various committees (ie. QA, Infection Control, Patient Care) in accordance with government regulatory requirements.
Demonstrates proficiency in all departmental computer programs. Produces all required reports. Performs all required data entry and tracking. Participates in departmental outreach activities. Represents department at various meetings. Maintain phone system, equipment and personnel response time.
Utilizes department tools effectively to manage patient flow which may include; but is not limited to, sign in sheets, patient schedules, EFAX, prescription, insurance and managed care matrices.
Requests assistance with equipment servicing/software/applications following all organizational initiatives to prevent potential delays or loss of potential customers. Trouble shoots upcoming appointments for potential conflicts and works toward a resolution when necessary.
Appropriately implements and manages resources within the area of responsibility to maintain high quality customer service and patient satisfaction. Adheres to Joint Commission and State regulations. Completes e learnings on time.
Collects and enters all insurance information utilizing eligibility system/applications as established by departmental guidelines. Updates patient records to make sure the correct payer is billed to ensure timely billing and accurate reimbursement.
Utilizes QA system to ensure registration discrepancies are corrected prior to billing. Coordinate the collection and documentation of payments and entry at each center. Appropriately implements and manages resources within the area of responsibility to maintain high quality customer service and patient satisfaction. Monitors and orders clerical supplies.
Other duties and/or projects as assigned.

Qualifications:

Education, Knowledge, Skills and Abilities Required:

High School Diploma or equivalent.
Bachelor’s of Science Degree.
Minimum 3 years supervisory experience.
5 years experience in imaging healthcare
Computer skills: Experience with MS Office Suite, Centricity RIS, PACS, Google database.
