*Job Description*The Tenant Coordinator position will be responsible for Coordinating, facilitating, and expediting the early opening of tenant stores. Work with Tenants, Tenants Contractors and Architects. Negotiate with Landlord’s Contractors and Architects to create contracts to fulfill Landlord work and ensure construction schedules are met. Coordinate with the Leasing Department to create lease Exhibits and fulfill Construction Costs Requests. Works with Administrative Assistant to track and document; paper flow, customer relations, invoicing and interdepartmental communication.Responsibilities
Works with Leasing on LOI and draft leases to negotiate Landlord’s scope of work and prepares Lease Exhibits or modified Tenant Work Letters based on those negotiations
Addresses on-going inquiries from the leasing department, including potential space layouts, expansions, and modifications to existing small shop spaces.
Actively seeks cost effective alternates and ideas
Fulfills Construction Cost Requests for projects based upon conceptual and final construction documents
Works with architects to prepare space layouts and Landlord construction documents.
Manages Landlord scope of work by bidding and awarding work to architects and contractors Issues construction contracts and obtains permits / approval necessary to initiate construction
Monitors construction field activities and evaluates potential planning conflicts
Keeps construction in budget and on schedule for completion
Reviews and approves Tenant construction drawings and signage
Ensures Delivery of Premise lease requirements on time
Reviews and approves payment applications for both Landlord contractors and Tenant Allowances.
Performs Vacant Space Reports (VSR’s) via site visits, completing VSR data requirements, including photos, measurements, and other onsite information
Performs routine follow up inquiring on Tenant’s progress status from Delivery of Premise up through processing Tenant’s final Tenant Allowance payment
Updates Project Management software with documenting conversations, project status, project progress photos, etc.

*Education and experience*
Bachelor’s Degree (BA) from four-year college or university with three to five years related experience or equivalent combination of education and experience
Formal training in design and construction disciplines or college degree in Construction Management or Architecture is preferred
Experience in build-out of tenant spaces for national retail anchors is preferred
Strong estimating background (3-5 years of experience preferred)

Effective written and verbal communication skills required
Proficiency in MS Office
Ability to analyze architectural and civil drawings and speculations
Adobe Pro and CAD experience preferred
Read, understand, and coordinate architectural and MEP drawings and specifications
Excellent customer service
Agile problem-solving and conflict management capability
Exceptional budgeting, forecasting, and estimating skills required
Must be able to multitask and prioritize projects within the portfolio accordingly
Must be able to work with employees at all levels, work with tenants and work extended hours
Travel is required
Required to maintain a valid driver’s license
